Outlook: Inbox Rules

  1. Click the Hometab.
  2. Click the Rules pull down menu.
  3. Click Manage Rules and Alerts. The Rules and Alerts dialog box will open.
  4. Click New Rule
  5. The Rules Wizard dialog box will open.

    Select Move messages with specific words in the subject (or any other options listed) to a folder.

  6. Click the Next button at the bottom of the dialog box.5. The Rules Wizard dialog box will open.
  7. Under Which condition(s) do you want to check?, make sure with specific words in the subject is selected.
  8. At the bottom of the dialog box under Step 2: Edit the rule description (click an underline value), click the specific words
  9. The Search Text dialog box will appear. Click in the box under Specify words or phrases to
  10. Search for in the subject: and type what you are looking for and click Add.
  11. Click on OK. You will return to the Rules Wizard dialog box.
  12. Click on specified under Step 2: Edit the rule description.
  13. You will be taken to the
  14. Rules and Alerts
  15. dialog box. Expand the appropriate folder by clicking on the + sign beside it. Maneuver to the folder you want the messages to go in and click once on the folder. Click OK.
  16. Click Next at the bottom of the dialog box. Under What do you want to do with the message?, scroll down and select display a specific message in the New Item Alert window.
  17. Click a specific message under Step 2: Edit the rule description (click an underlined value).
  18. The Alert Message dialog box will appear. Click under Specify an alert message and type the message you wish to appear when a message is received.
  19. Click OK.
  20. Click Next again.
  21. If you have any exceptions to this rule, select them from the list.
  22. Click Next.
  23. Under Specify a name for this rule, click in the white box and give your rule a name
  24. Under Step 2: Setup rule options, make sure Turn on this rule is selected. You may also select Run this rule now on messages already in “Inbox” if desired.
  25. Click Finish.
  26. Click OK if the below dialog box appear
  27. Click OK again to close the Rules and Alerts dialog box. If you selected the rule option Run this rule now on messages already in “Inbox” as referred to in step 21, messages will show up now in the folder. Click the folder referred to in the rule to verify. Any new messages will be sent directly to this folder and a message will alert you to this fact.
